How big a server does a CRM need?

Users working at the same time, email synchronisation and attachments decide the size more than the number of records.

A CRM that stays with your company

Customer relationships are years of history. Keep them in a system you own, in a location you choose.

Leads and pipelines

Track leads, accounts and deals through your own stages, with reports and dashboards for the team.

Email and calendar

Connect mailboxes over IMAP and SMTP, link emails to customers and keep meetings and calls in the shared calendar.

Workflows

Assign leads, send follow-ups and update records automatically with each CRM’s workflow tools.

APIs and integrations

REST APIs and webhooks connect the CRM to your website forms, your invoicing and automation tools such as n8n.

Your data on your server

Customer records, conversations and reports stay on a server you control, in the location you choose.

Email that arrives

Connect the app to an SMTP or transactional email service and add SPF, DKIM and DMARC to your domain, so invitations and notifications reach the inbox.

Root access, your rules

Every Linux VPS, VDS and dedicated server comes with full root access: you choose the versions, the add-ons and the security settings.

Backups included

Free weekly and monthly backups come with every VPS and VDS plan. For data that changes every day, keep copies of your own as well.

Set up your CRM in four steps

Order the app preinstalled on your server, or install it yourself with our guide.

  1. Choose your server

Pick a VPS, VDS or dedicated server in the size from the table above and the location closest to your users.

  2. Install the CRM

Choose it as an app option, or follow our guide: the SuiteCRM package, EspoCRM’s official install script, or Twenty with Docker Compose.

  3. Add your domain and TLS

Point a subdomain such as app.example.com at the server’s IP address and serve the app over HTTPS with a free Let’s Encrypt certificate.

  4. Add users and connect email

Create the admin account, set up the cron job or worker, add SMTP for outgoing mail and invite your team.

Step-by-step setup guides

Install, secure and update the app with our guides, written for current Ubuntu and Debian releases.

Frequently asked questions

Still have a question? Send us a message and our team will reply by email.
Which open-source CRM should I choose?

SuiteCRM for a mature CRM with many modules and a long history. EspoCRM for a light, fast interface and a rich set of extensions. Twenty for a modern, spreadsheet-like interface on Node.js. Odoo CRM if you also need quotes, invoicing and inventory in the same system.

What does SuiteCRM 8 need?

SuiteCRM 8.10 runs on PHP 8.2 to 8.4 with MariaDB 10.6 to 11.8 or MySQL 8.0 or 8.4, on Apache 2.4 with mod_rewrite. Point the document root at the public folder, and set up the cron job; since 8.10, async tasks also need a background worker.

What does EspoCRM 10 need?

PHP 8.3 to 8.5 with MySQL 8.0, MariaDB 10.6 or PostgreSQL 15 or newer. EspoCRM’s official script installs it with Docker, Nginx and MariaDB on Ubuntu or Debian and can request a Let’s Encrypt certificate; a daemon or cron container runs the scheduled jobs.

What does Twenty need?

Docker Compose with Twenty’s server and worker containers, PostgreSQL 16 and Redis, and at least 2 GB of RAM. Set SERVER_URL to your https address and keep the encryption key safe.

Can I import my contacts from another CRM?

Yes. Each of these CRMs imports CSV files with field mapping, so you can export from a spreadsheet, Salesforce or HubSpot and bring accounts, contacts and deals across. Test the import with a small file first.

Is port 25 open on my VPS?

Outbound port 25 is closed by default on HyperDC VPS. For services ordered for a term of 3 months or longer, we open it on request: open a support ticket. Until then, send through an SMTP relay on port 587. A relay or email service also helps your mail reach the inbox.
